Make the note worth opening

The invoice is paid and the work is finished. Before sending another offer, consider something that asks for nothing: a short thank-you card. Mention the work, acknowledge the customer’s choice and sign it from the business.

Choose a completed experience, not just a payment event. A deposit can arrive weeks before the work is done. Check the address and any unresolved service issue before an automated note speaks for you. That service check is separate from deciding who gets to leave a public review.

Keep it specific and simple

A fictional example: “Hi Morgan, thank you for choosing Example Company for the patio cleanup. We appreciate you making room in your week for the crew. If a question comes up about caring for the surface, reply to your service email and we’ll help. Thanks again, The Example Company team.”

Use details you actually know. Do not have software invent a conversation or imply the owner personally penned a robot-written card. A note from the business can stand on its own. A review is not owed in return.

Options for getting it in the mail

Writing and mailing cards yourself can work at low volume if someone owns the task. Count stationery, postage and staff time. The calculator compares that cost with an automated service using your inputs.

Automate the event, not the relationship

Use a completed-job or delivered-order trigger. Validate the address, check mailing preferences and record whether a card has already been sent for that job. A retried request should not mail three copies.

Someone needs to handle failed sends, returned mail and corrections. Share only the details required to deliver the card, not your internal customer notes.

Check the economics without inventing the return

In the example, 100 automated cards at $5 delivered plus $50 in fixed fees cost $550. At $110 contribution per additional repeat purchase, five additional purchases would cover the expense. That is a break-even calculation, not evidence that the cards cause five purchases.

A small first batch can teach you about quality, timing and customer reactions. If you compare sales outcomes, use similar eligible groups and a defined time period. Report uncertainty instead of attaching a confident ROI claim to a handful of cards.

Should every card contain a coupon?

A plain thank-you can stand on its own. If you test an offer, measure it separately and never make it conditional on a review.

Is robot-written the same as personally handwritten?

No. Be honest about the production method if asked, and do not claim a personal action that did not happen.
