The request had an owner
One orthodontist’s review process had a long memory. The notes describe six stages: set expectations before the appointment, mention feedback in the office, send a same-day message, follow up after a day, mail a postcard after a week and make a final call.
That is an anecdote from our internal process notes, not a controlled study. We cannot assign a review total to one message. The useful question is operational: who owns the request after the appointment ends? Most businesses can name the person who sends the invoice. Feedback deserves a clear owner too.
Keep the consistency. Lose the pressure.
Some original scripts leaned on five-star language and jokes about not seeing the review yet. We would not copy those lines into a new campaign. Google prohibits incentives and says businesses should not pressure customers to review on the premises or request specific review content.
Use a neutral request after an appropriate completed interaction. Offer the correct link to eligible customers consistently. Do not select only the people you expect to give a high rating.
What we carried into professional services
The recommendations we developed for a professional-services firm used the correct office’s link, a suitable point after service, staged outreach and a record of requests. They kept requesting feedback separate from reusing it in advertising.
A public Google review is not blanket permission to use the quote in an ad. Regulated businesses need their own review and approval process. This article does not claim a client result or approve a campaign for another firm.
Give the process a stopping point
A reminder may fit the relationship and communication permissions. It is not a platform requirement. A decline or opt-out ends the request. Silence is not a reason to keep escalating through every available channel.
If you cannot reliably match a Google display name to a customer, do not write “we noticed you haven’t reviewed us.” A clicked link is not a completed review either. Keep support open to everyone rather than sending dissatisfied customers into a private-only path.
A thank-you does not create a debt
A card after the work can be a thoughtful gesture. It should not depend on a rating, and it should not imply the customer owes you a review in return.
Track requests delivered, replies and opt-outs. Review-count changes can be an account-level observation when individual attribution is uncertain. More reviews do not guarantee a specific map position.
